What time should exhibitors arrive for setup?

Exhibitors are encouraged to arrive at least 30 minutes before the event begins to allow adequate time for unloading and setup. If your setup is more complex or has multiple components, you may arrive up to one hour early.

Will setup instructions and details be provided in advance?

Yes. A detailed logistics email, including setup instructions and event activities, will be sent out prior to the event.

Will parking be provided?

Unfortunately, we are unable to provide complimentary parking. Paid parking is available at the Student Center Deck; the entrance is located at 355 Ferst Dr NW. Refer to the website for Visitor Area 3-W02 Deck Hourly Rates.

How will table locations be assigned?

Tables will be pre-assigned, and exhibitors will receive their table locations in advance of the event along with a floor map showing all exhibitor placements.

Will refreshments be available for exhibitors?

Yes. Light refreshments and water will be available for exhibitors throughout the event.

Can exhibitors leave their table for breaks?

Yes. While we ask that exhibitors staff their tables for the duration of the event, you are welcome to take breaks as needed. We encourage departments to have multiple representatives participate to allow time for breaks, networking, and exploring the event.

What if only one representative is staffing our table?

If you only have one representative staffing your table, we ask that they remain available for most of the event, taking breaks as needed.

Will there be designated break periods during the event?

No. The resource fair will run continuously from 10:00 a.m. to 4:00 p.m. to accommodate student schedules, as students may also be participating in program and other orientation-related events.

What should we expect regarding student traffic throughout the event?

Attendance is typically highest during the first portion of the event from 10:00 a.m. – 2:00 p.m. Exhibitors are encouraged to plan staffing and materials accordingly.

Will electrical outlets or power access be available?

Limited power access may be available in select locations within the Midtown Ballroom, as the space does include some floor electrical outlets; however, access cannot be guaranteed.

Are there any limitations to what an exhibitor can bring?

There are no strict limitations on what exhibitors can bring, and a variety of materials and equipment are typically used without issue. If you have concerns about specific items, please reach out to Casey Hendricks for guidance.

How can exhibitors identify student interests or degree levels?

We are exploring options to help exhibitors better identify students, their programs, and interests.

What are some best practices for engaging students?

Successful exhibitors often:

  • Use interactive displays or giveaways
  • Offer concise talking points
  • Provide QR codes for quick follow-up
  • Encourage sign-ups or contact collection
  • Bring representatives who can speak directly about student experiences

How will high-traffic tables or lines be managed?

Event staff and volunteers will help monitor crowd flow and assist with traffic management as needed.

Who should exhibitors contact onsite if they need assistance?

Designated staff members will be available at the check-in table throughout the event to assist you with any issues you may encounter.

What should exhibitors bring?

Recommended items include:

  • Branded tablecloth and signage
  • Giveaways or promotional items
  • Printed materials or handouts (QR codes and digital resources are preferred)

Is there a limit on giveaway items or displays?

Exhibitors should keep materials within their assigned table footprint and avoid obstructing neighboring tables or walkways.
